Here's a suggested checklist for how to get an event/workshop/class.
Important people in this situation:
- You - the person who came up with the idea and is shepherding it
- Speaker - the person the event is for (if a guest speaker), the class teacher, etc.
- Everyone - the CRASHSpace mailing list(s)
In the case of events where there is no real "speaker", assume that role yourself.
Before the Event: (at least two weeks)
- Contact Speaker
- Get the following information from speaker:
- Preferred event description
- Speaker bio, with offsite links
- Fees for speaking or materials
- event/class size limit
- Special requirements by the speaker (A/V needs, equipment needs, etc)
- Determine Event date
- Work with speaker and look at event calendar
- Maybe ask everyone for a good time if multiple times are good and to gauge interest
- Talk to "Events and Programming Hub" wrangles (currently Carlyn) about what else is going on.
- What kind of event is it - ish (see model , where is it again...)
- Put Event on blog.crashspace.org Google events calendar
- Write a blog post.
- Add it to the Events page
- Add it to the google calendar if you have access (you can get access if you throw a lot of events) otherwise you have to wait for the P&E Wrangler to do it.
- Get Pay Pal Button
- Should have picked a pricing structure w/ P&E Wrangler
- P&E Wrangler will email you embed code to add to your blog post
- Double check to make sure your blog post has the following:
- Event description
- Speaker bio
- Fees
- An image or two to give people an idea what they're getting into
- Pay Pal Buttons
- Include links to related interesting things if appropriate (past similar CRASHSpace events, etc.)
- Post to CRASHSpace mailing list
- Include link to blog post
- Include summary of event description
- Include link to Eventbrite registration page
- Promote the event on other sites/lists
- Ask the speaker for appropriate locations
- Ask the speaker to help promote
During the Event:
- Show up to one hour before the event to make sure the space is ready
- If space is a mess, clean it up a bit
- Tell the speaker to show up at least 30 minutes before, if possible
- Help speaker set up any equipment, arrange tables, etc.
- If a paid event, make sure attendees have paid, if not already paid, can take money at the door
After the Event:
- Thank the speaker profusely
- Put the space back in reasonable order
- Post to CRASHSpace blog and mailing list an event re-cap (a day or two later)
